What Do I Need to Sort Out in My Etsy Shop Before the Q4 Rush?
The Q4 housekeeping pass on an Etsy shop selling digital downloads — seven checks in order, with what each one actually looks like inside Shop Manager.

Seven checks, in this order: read your own shop policies as a buyer sees them; open every listing's file section and confirm the right file is attached; add the AI disclosure line if your work used AI tools; replace the first photo on your three strongest listings; rebuild the tags; run the Search Visibility page in Shop Manager; then clear the five admin items nobody does. Policy first, delivery second, findability third, admin last — because a listing that gets removed, or a file that does not open, cannot be rescued by better keywords.
Each check below is quoted from Etsy's own Seller Handbook and Help Centre, all fetched on 13 September 2026. Etsy changes its rules and fees regularly, so confirm anything here against the live page before acting on it.
First, the numbers that constrain everything
Etsy's How to Create a Listing page states you can add "up to 20 photos and 2 videos that are 5-15 seconds in length," that "a listing's title can be up to 140 characters long," and that you can "add up to 13 tags that describe your item." For a digital listing it adds: "Add up to 5 files for buyers to download." Etsy's How to Manage Your Digital Listings page is more specific: "You can upload up to five digital files. The maximum size for each file is 20MB."

One more rule before you start: "File names are limited to 70 alphanumeric characters, periods, underscores, or hyphens," and filenames cannot be edited after upload — the fix is to remove the file and add it again.
1. Read your own shop policies as a buyer sees them
Shop Manager → Settings → Policy Settings — and note that "Policies can't be added or edited from the Etsy Seller app," which is exactly why so many shops run on the defaults.
Etsy says shop policies contain four sections: "Returns & exchanges; Cancellations; Privacy, and Fixed." What catches digital sellers out is that Etsy maintains a preset delivery policy for "Instant downloads" that sellers cannot modify. What you can control is Cancellations — "whether or not you accept cancellations after they place an order" — and Privacy.
If you sell into the EU: Etsy states that "Regulations in the EU give buyers the right to cancel or return their orders within 14 days of delivery," and that EU sellers must "create and comply with a privacy policy that satisfies the requirements of the General Data Protection Regulation (GDPR)." Business sellers shipping to the EU/EEA must also identify themselves as traders under the EU Omnibus Directive. Read Etsy's page directly — this is not legal advice.
Then read your policies in a private browser window, as a stranger reads them. A vague sentence there becomes a message in November.
2. Open every listing's file section
Etsy describes instant downloads as "ready-made files that are available once your payment is confirmed." There is no human in the loop: if the wrong file is attached, a buyer at 11pm on Black Friday gets the wrong file immediately, with no chance for you to intervene. That is why this outranks anything about keywords.
For each digital listing, in Shop Manager → Listings → open the listing → Digital files:
1. Count the files. Does the description promise four and the listing attach three?
2. Download one yourself. Not "check the name" — download it and open it.
3. Check the dates inside the file. A 2025 calendar still attached in October 2026 is the most common Q4 error in digital shops.
4. Read the filename. It lands on the buyer's device exactly as uploaded — the only branding that survives on their hard drive. `Untitled-1-final-FINAL.pdf` is a wasted slot.
5. Check size against the 20MB ceiling. If a bundle strains against it, split it across the five slots rather than compressing it into unreadability.
3. Add the AI disclosure line, if it applies
Etsy's Creativity Standards, last updated 10 June 2025, require that all items "incorporate a human touch" across four roles: Made by, Designed by, Handpicked by, and Sourced by a seller. Digital downloads of original creations sit under "Designed by a seller" — and so, under the same heading, do AI-generated works: "Creations that were generated using AI tools." Etsy states that "Sellers must disclose within their listing description if an item is created with the use of AI." Its Seller Handbook article on AI (dated 9 July 2024) repeats that and adds that Etsy "prohibit[s] the sale of AI prompt bundles on our platform."
So: if AI tools were part of making what you sell, a disclosure sentence belongs in the description. If part of your catalogue is prompt bundles, resolve that now rather than in December. Read the Creativity Standards page yourself; it is what Etsy enforces against, and it moves.
4. Replace the first photo on your three strongest listings
Etsy's How Etsy Search Works, dated 26 August 2025, names "listing quality" — multiple high-quality photos and return policies — among the factors search considers, alongside relevancy, shop quality, customer service quality, translations and language, listing engagement rate, recency, and shoppers' habits.
For a digital download the first photo must show something that does not physically exist.
- Show the thing in use, not the file. A planner page on a desk beats a PDF icon.
- Put the format and count on the image. "12 pages · PDF · A4 and US Letter" answers what the description currently answers three scrolls down.
- Check it at thumbnail size. Etsy recommends images "at least 2000 pixels wide," but the decision gets made at roughly 200 pixels wide in a search grid.
Do three listings, not thirty — the ones already getting views.
5. Rebuild the tags
Etsy's Keywords 101, also dated 26 August 2025, contradicts how most beginner shops tag.
- Tags "can be up to 20 characters long," and "it's better to use multiple phrases than to load your tags with single words."
- "The 13 tags you add should all be as unique as possible."
- Plurals are unnecessary: "when a shopper enters their query, we look at the root words." And "you shouldn't misspell keywords on purpose."
- Aim at "less popular phrases that describe what's really special about your products."
How Etsy Search Works adds the blunt instruction to use "all 13 tags" and add "variety to your tags."
The pass: read a listing's 13 tags aloud and delete every one that is a single generic word or a near-duplicate. You will usually be left with five or six. Refill the rest with phrases a buyer would type — the occasion, the format, the person it is for. Thirteen distinct multi-word phrases per listing. Slower than it sounds, and it is the whole job.
6. Run the Search Visibility page
Shop Manager → Search visibility. Etsy's help page says it "shows how your shop is performing in three key areas that can impact your placement in Etsy search" — listings, shop, and customer service — and displays "recommended actions which may help increase your item's search visibility."
It will not tell you what to sell. What it does well is find the listings you forgot: the missing category, the low-resolution image, the shop with no logo. You can also filter your Listings page by search factor, which "will display all listings with the selected issue."
7. The five admin items nobody does
None are interesting. All bite in Q4.
1. Vacation mode and the renewal trap. In vacation mode "listings and Etsy Ads do not appear in search results," direct links show an "Item unavailable" notice, and — the part people miss — "if any listings set to auto-renew expire while Vacation Mode is on, you'll be charged the renewal fee." Subscription billing continues too.
2. Expiry dates. Etsy states that "listings not set to auto-renew will expire after 4 months," and that the countdown "continues while your shop is on Vacation Mode and cannot be paused." Sort by expiry and see what lapses in November.
3. VAT on digital items. Etsy states it "automatically detects if the buyer is in one of these countries and adds the appropriate VAT to the listing price if the item is a digital file download," that "sellers are not responsible for adding VAT to their digital listing prices," and that "buyers—not Etsy or Etsy sellers—pay VAT as part of their total purchase price." Its own advice beyond that: "please contact your tax advisor."
4. Re-read the fees page. Not a summary — the page. As of its last update of 13 February 2026, it states a listing fee of "$0.20 USD for each item that you list for sale" and a transaction fee of "6.5% of the price you display for each listing plus the amount you charge for shipping and gift wrapping." Etsy states those in US dollars; what reaches your statement depends on your shop currency and Etsy's conversion. Processing fees "vary based on the location of your bank account." Fees change — check the live page before pricing anything.
5. Your response time. Customer service quality — review ratings, message response rates, case rates — is one of the factors Etsy names in How Etsy Search Works. In December message volume goes up and patience goes down. Decide your reply window now and put it in the shop announcement.
A note on timing
Etsy publishes its own month-by-month Seller Holiday Checklist. The 2025 edition, dated 16 December 2025, put shop optimisation and "Review your processing times" in September, customer experience work in October, and the Cyber Sales event in November. The shape holds: structural work belongs before the traffic.

Do digital downloads on Etsy have a processing time?
Not in the way physical items do. Etsy describes instant downloads as "ready-made files that are available once your payment is confirmed" — the buyer gets them immediately, with no action from you, and Etsy's preset delivery policy for instant downloads is not editable. Made-to-order digital items differ: you upload the finished file, and "the buyer will be notified by email that their order is now available for download."
Do I have to say if I used AI to make my digital product?
Yes, where AI tools were used. Etsy's Creativity Standards, last updated 10 June 2025, state that "sellers must disclose within their listing description if an item is created with the use of AI." Etsy separately prohibits selling AI prompt bundles, and has said it is "periodically reevaluating" this area — so read the Creativity Standards page directly rather than relying on any summary, including this one.
How many tags should I use, and what makes a good one?
All 13. How Etsy Search Works says to use "all 13 tags" and add "variety" to them; Keywords 101 says tags can be up to 20 characters, that "it's better to use multiple phrases than to load your tags with single words," and that the 13 "should all be as unique as possible." Skip plural variants — Etsy looks at root words.
What happens to my Etsy shop if I go on holiday in December?
Vacation mode hides your listings and ads from search, and direct links show an "Item unavailable" notice. Charges do not stop: Etsy states that auto-renewing listings which expire during vacation mode still incur the renewal fee, and subscription billing continues. Listings not on auto-renew expire after four months regardless, and that countdown "cannot be paused." Ella Wealth Community's advice is to decide in October, with the expiry dates in front of you.
Is October too late to fix my Etsy shop for Q4?
No — most of this checklist is repair work, and repair takes effect straight away: a corrected file, a missing disclosure line, an empty tag slot filled. What October is too late for is a strategy rebuild — a new product line, or waiting on search to re-rank a shop you have just overhauled. Fix what is broken; leave the rebuild for January.
